1.0 Getting Started
1.1 Background
Heaven Cent is
a computer program designed to automate many of the time consuming jobs
associated with your church. The program consists of 3 parts:
-
A database of information about people, families and
finances associated with your church.
The people may be active or inactive members, or friends to whom you
send information. The financial
information concerns pledges, income, budgets, disbursements, payables, checks
and bank statements.
-
Data entry screens that provide an easy and friendly
method of adding, changing and deleting information in your
database.
Reports that print information from your database in the
form of listings, mailing labels
or personalized letters to individuals and families in your database, ROLODEX
cards, checks and a church telephone directory.
Heaven Cent will run on any IBM Personal Computer running
Windows 95, 98, 2000, NT, ME or XP.
Heaven Cent may be setup to operate on a single computer (SINGLE USER
Mode), or to operate on multiple computers on a network (NETWORK Mode). A SINGLE USER version can be changed to

1.4 Demo Program
Tutorial
The Heaven Cent Demo
program is the real Heaven Cent program with just two differences. First, the Demo is limited to a maximum
of 50 names (the operational program is limited only by space available on your
hard disk). Second, the Demo
program has some sample data loaded in the database to provide a starting point
for evaluation of the program capability. Financial information is included
for 1999 and 2000.
This section assumes you have installed the Demo program as
described in the Installation Instructions. The following steps will give you a
quick tour through Heaven Cent. Please feel free to hop off the tour and
try out things that look interesting.
Step1 Logon Double click on the Heaven Cent icon on
your desktop. The first screen displayed when Heaven Cent is started is
the Logon Screen. One User Id is
installed in the demo program, the System Administrator. Enter the password (heaven), and
press <Enter> or <Tab>.
Press <F1> and read the Help Screen. All data entry and report screens have Help that can be
displayed with <F1>. The
Logon Screen Help explains the different User privileges available and the
accesses permitted with each privilege.
Click the <Logon> button.
Step 2 - Setup From the File Menu, select the Setup
Screen and enter the name, address and telephone number of your church. Select a Word Processor. WordPad is
preferred. Set Lines per Page to
66. Select the Options tab at the
bottom of the screen, and select your Country and any other desired
options. Close the screen by
clicking the X in the upper-right corner of the screen.
Step 3 - Add Individuals (Names) to
the Database From
the Membership Menu, select Names.
The Names Screen will be displayed. Enter information for a person to be
head-of-household. Use Leading
Capital Letters. Leave the
ENVELOPE 0 for individuals, we will give the family a number in the next
step. When you are done with this
screen, click <Save>. Select
the Date tab, enter date information and click <Save>. Select the Address tab and enter
address information. Use Leading Capital Letters. Heaven Cent will convert
fields to all upper case where required (for example STATE). Notice that CITY, STATE and ZIP are
different fields. Enter the city,
press <ENTER> or <Tab>, type the state code, click <ENTER> or
<Tab> and type the ZIP/Postal code.
The Zip/Postal code will be validated for proper format, depending on
which country you selected on the Setup Screen. Do not type a comma after CITY, Heaven
Cent will include it when required in reports. When you are done with this screen, press <Save>. Use the Setup Screen to add additional
Dates if desired. Add one or two
additional people who will be dependents in the family to be added in the next
step. Close the screen when you
are done. Print a Names Report
(Membership/Reports/Names) to see the information you have added.
Step 4 - Add a Family From the Membership Menu, select Families. Click <New>, and names not in any
family will be displayed in a List Box.
Select the person that you want to be Head-of Household. Modify the Mail name to represent the
way you would address mail to the family. Enter 99 for the envelope for
this family. Click <Save>. Select the Dependents tab, select
a Radio button for a family position to be added, and select a name from the
List Box. Add additional
dependents as desired. Click
<Save> and close the screen.
Run a Family Report to check the information you have added.
Step 5 - Enter Income From the Financial Secretary Screen, Select the Income
Screen and click <New>.
Enter 99 for the Envelope Number, and the family that you added will be
selected. Enter a Category AP, and
enter some income. Then enter FLOW
for the category and enter some income.
Click <Save> Run the
Income Test Report (Financial Secretary/Reports/Income Test) to check the
information you just entered. Use the date you used in the Income Screen,
probably today's date.
Step 6 - Mailing Labels Select Labels from the Administration/Reports Menu. Practice running labels to the screen
with various options. Try entering
DRIV for ORG or SKILL and you will get labels for people on the Driveway
Committee.
Step 7 - Have Some Fun By now you have the basic idea of Heaven Cent. Enter some Disbursements and write some
checks. To select a Category or a
Vendor for a Disbursement, enter a ? in the field. You will get a popup window from which to select a
